Public Meeting Room Guidelines
- You will be admitted to and must vacate the
meeting room at the appointed time. If the room is locked, check with Administration
receptionist or at the Service Desk.
- Library staff cannot carry supplies, provide
custodial help other than normal room
maintenance, assist with meetings or operate
equipment. Messages can't be relayed to meeting attendees except in emergencies.
- Groups may not charge registration fees or
require the purchase of an item as a condition of attending a meeting in the room.
- Membership dues and voluntary incidental
donations (such as coffee money or the
recovery of photocopy costs) may be collected.
- Using the name, address or telephone number
of Hedberg Public Library as the address or
headquarters of any group using the library for
meetings is prohibited.
- Library staff may attend or observe any
meeting or program at any time.
- An adult sponsor must sign the booking form
and be present at the meeting for groups of people under 18 years of age.
- Food and non-alcoholic beverages may be
brought into the room. No kitchen facilities are available and refreshments cannot be prepared
in the room.
- Bookings will be accepted no earlier than two
months before the desired meeting date. Use of the room by any organization is limited to one
meeting per week, with a maximum time per meeting of four hours including set-up and
take-down.
- Tables, chairs and a portable, lightweight
podium are the only equipment available. Wireless Internet access is available for your
own wireless-ready laptop computer.
- Excessive noise is not allowed.
